Her Domain Administrative Job Descriptions

[All positions should be assumed to include "other duties as they come up". Not to scare anybody but something always comes up and it will be up to the board to decide who does it or if someone should be appoint to do it. - Minnie Rangal, Vice President.]


B O A R D   P O S I T I O N S


PRESIDENT

The President is the chief executive officer for the organization. The primary responsibilities of this role involve the general supervision and operation of the organization. In cooperation with the other officers, the President establishes long-term and short-term goals for the organization.

Some specific duties include:

  • Continue and complete 501(3)c status application
  • Will require at least a couple of meetings with pro-bono lawyer
  • Plan and chair three meetings (Annual Business meeting, Resume Workshop and other of own choice)
  • Make sure all legal paperwork is current (taxes -coordinate with treasurer, domain registration, etc.)

VICE PRESIDENT

The Vice President (VP) manages the activities that sustain and increase the number of members in the organization. The primary responsibilities of this role involve marketing and some administration. VP becomes president for next year so this is a two-year commitment (barring unforeseen circumstances of course).

Some specific duties include:

  • Help president with 501(3)c filing
  • Plan and chair two meetings of choice
  • Oversee activities of various committees including:

    1) Website
    - be able to step in and/or find replacement of Website Administrator (WA) if needed. (WA works without supervision but VP can make suggestions - see WA job description below)

    - assist webring coordinator if necessary

    2) HD Email List
    - be able to step in or find replacement of List Administrator (LA) if needed . (LA works without supervision but VP can make suggestions- see LA job description below)
    - rewrite Welcome Message either by list admins or VP
    - either VP or LA must send monthly "rules" message to list plus redo the listguide for the website

    3) Education
    - be able to step in or find replacement of Education Administrator (EA) if needed. (EA works without supervision but VP can make suggestions- see EA job description below)

SECRETARY


The Secretary maintains the organization's records, including by-laws and articles of incorporation. Additionally, the Secretary also records the minutes for meetings and for meetings of the Executive Team.

Some specific duties include:

  • Plan and chair two meetings on topic of choice
  • Attend minimum 75% of meetings and take minutes to be formatted and placed on website
  • Maintain documentation as needed on other HD activities (SXSW)

TREASURER


The Treasurer manages the organization's financial health. The primary responsibilities of this role involve handling the finances.

Some specific duties include:

  • Maintain records of expenses/income for tax purposes
  • New checking account will have to be set up now that we have an actual tax number
  • Pay bills, take donations


IMMEDIATE PAST PRESIDENT


The Immediate Past President guides and supports the Executive Team. The primary responsibilities of this role involve serving as a resource for new officers and ensuring continuity with past term.


N O N - B O A R D   P O S I T I O N S


WEB ADMINISTRATOR

The Website Administrator (WA) manages the website design and content.

Some specific duties include:

  • Keep links valid
  • Add new links
  • Coordinate with other officers to update News, Calendar & other information in a timely manner
  • Website redesign when necessary

WEBRING COORDINATOR

The Webring Coordinator (WC) is in charge of maintaining the webring.

Some specific duties include:

  • Maintain the integrity of the HD WebRing by making regular visits to WebRing's management site
  • Weekly test the links on Ring members' pages
  • Send status notifications to potential and current Ring members about membership and eligibility

LIST ADMINISTRATOR


The List Administrator(s) (LA) manages the list. The primary responsibilities of this role involve coordinating with our host, Interactive Ensemble, to insure the continued existence of the list.

Some specific duties include:

  • Coordinate with 1- 2 other List Administrators
  • Coordinate with VP to send out monthly posting"rules" message
  • Answer emails about list & subscription problems
  • List admin duties as described in admin training

Skills and tools needed:

- persistent internet connection
-computer with a web browser and email software; cookies must be enabled in the web browser
- frequent and regular email checking
- good communication skills (
able to reply calmly to negative comments)
- admin duties happen mostly via email, via the email and the Mailman web interface
- time commitment averages five minutes a day depending on the number of inquiries and requests
- duties are divided among list admins
- able to be reached by phone


EDUCATION ADMINISTRATOR

Education Administrator (EA) manages all educational programs within the organization. The primary responsibilities of this role involve hunting for teachers and class space to provide more inexpensive tech classes for members

Some specific duties include:

  • Plan and chair two meetings of choice on a tech topic (short courses)
  • Find teachers and coordinate classes
  • Investigate possible local classes to list on website
  • Investigate online resources for website

VOLUNTEER COORDINATOR

The Volunteer Coordinator (VC) is responsible for recruiting and scheduling volunteers for Her Domain activities - primarily coordinating volunteers for shifts during SXSW Interactive Trade Show (see Booth Coordinator).

  • Maintain online signup schedule (Web experience a plus. The sign up list is automatic, but you will need to access php files on the HD server to update the schedule with the current year and show dates/times, and occassionally work with our Host IP.)
  • Send and answer emails providing detailed information to volunteers
  • Compile a list of volunteer opportunities around Austin for our members who are interested in doing good and send to Web Adminstrator for posting on the Web site
  • Keep volunteers apprised of all booth-related resposibilities and extend Thanks after the Trade Show
  • Email promotional and recruitment information to the Web Administrator for inclusion on the Web site.

SXSW COORDINATOR

The SXSW Coordinator (SXSWC) oversees the setup and teardown of the Her Domain booth and general HD participation during the Trade Show held during the annual South by Southwest Interactive Festival. (Unsold booth space is donated to non-profits each year.)

Some specific duties include:

  • Liaise with SXSW Trade Show personnel to obtain exhibitor information package and passes
  • Supervise the setup and teardown process at the Austin Convention Center, including volunteer delivery of backdrop and display/ other donated items
  • Coordinate booth activities including free draws, silent auction, demonstrations, draw/auction items, display of member materials, books, etc.
  • Solicit and/or coordinate solicitation of donated display items and services (business cards/ information brochure design and duplication, booth banner, Mixer flyers, panel flyers )
  • In the Fall, meet and begin a dialog with the diirector of the SXSW Festival about our involvement in SXSW including the discussion panels (dependant upon members interest)
  • Liaise with Volunteer Coordinator (VC) re: volunteer participation
  • Sending promotional and recruitment information to the Web Administrator for inclusion on the Web site.

MIXER COORDINATOR

The Mixer Coordinator (MC) is responsible for the organizatiion of the annual Her Domain Mixer held at the Club DeVille, 900 Red River, on the Monday during the Trade Show.

  • Coordinate food service donations, setup and cleanup
  • Coordinate with Volunteer Coordinator about volunteer participation and recruitment
  • Coordinate entertainment donations: schedule bands
  • Liaise with SXSW Coordinator and Volunteer Coordinater
  • Prepare and distribute information flyers advertising the event
  • Send promotional and organizational information to the Web Administrator for inclusion on the Web site.
